Create an appointment and link it to an existing invoice

Note: The steps in this article apply only to the web app.

 

You can use Roc Services to create an appointment and link it to an invoice that you previously created. 

If you don't have an existing invoice, go to Create an appointment and send an estimate

To create an appointment and link it to an existing invoice, complete the following steps:

  1. Set up the appointment.
  2. Select the appointment type.
  3. Configure customer alerts.
  4. Link an existing invoice.
  5. (Optional) Add notes and attachments.
  6. Review the appointment.

Note: After you attend an appointment, you need to mark the appointment as completed. For more information about how to complete an appointment, go to Complete an appointment.

 

Step 1. Set up the appointment

  1. Log in to https://services.rocpos.com/.
  2. On the side menu, select Schedule
  3. Select Create New.
  4. In the Appointment Title box, enter the name of the appointment
  5. In the Instructions box, enter the special instructions for the appointment. The customer can view the special instructions in their appointment notification. 
  6. In the Assign Customer field, select +, and then add a customer or select an existing customer.
  7. In the Assign Technician field, select +, and then select a Technician.
  8. In the Address field, select the address where the appointment takes place.
  9. In the Block Time field, select + to adjust the duration of the appointment. 

Step 2. Select the appointment type

You can create a one-time appointment or a recurring appointment.

Create a one-time appointment

  1. Select One Time Job.
  2. Select the date and time of the appointment.

Create a recurring appointment

  1. Select Recurring Job.
  2. Select the start date and end date.
  3. Select the start time and end time.
  4. From the Type dropdown menu, select how often the appointment repeats.
  5. (Optional) If the appointment repeats weekly or monthly, from the Select Date / Days dropdown menu, select which day or date that the appointment repeats.
  6. (Optional) To specify dates when the appointment shouldn’t take place, in the Exception section, select Add.
  7. (Optional) To view the first 10 appointments in the recurring series, select Preview.
  8. Select Save.

Step 3. Configure customer alerts

In the Alert section, choose if you want us to send appointment notifications and reminders to the customer:

  • Appointment notifications – Notify the customer when you create, cancel, and complete an appointment.
  • Appointment reminders – Remind the customer about an upcoming appointment.

To send both the notifications and a reminder by email, complete the following steps:

  1. Turn on Email Alert.
  2. Enter the customer’s email address.
  3. From the Reminder At (email) dropdown menu, select how long before an appointment you want us to send an email reminder to the customer.

To send both the notifications and a reminder by SMS, complete the following steps:

  1. Turn on SMS Alert.
  2. Enter the customer’s contact number. 
  3. From the Reminder At (sms) dropdown menu, select how long before an appointment you want us to send an SMS reminder to the customer.

Step 4. Link an existing invoice

  • In the Invoicing section, select Assign Invoice, and then select the invoice that you want to assign to the appointment.

Step 5. (Optional) Add notes and attachments

  1. In the Internal Notes box, add a note about the appointment. Only the Technician can view the internal notes. 
  2. To add an attachment that the customer can view, select Add Attachment. You can add only one attachment in .pdf, .png, .jpg, .jpeg, .doc, or .csv format.

Step 6. Review the appointment

After you have entered all the information for the appointment, you can complete one of the following actions:

Send the invoice and appointment confirmation

  1. Select Save & Send.
  2. Specify an arrival window of up to three hours from the start time of the appointment.  
  3. Select Next.
  4. Review the notification content and make changes if needed. 
  5. Select Send.

Save the appointment

  • Select Save
